Terms and Conditions

The following Terms and Conditions are subject to change. You will be made aware of any changes that will impact your booking.

Ever Enchanted Celebrations Ltd shall be referenced as EEC forthwith.

Deposit

  • A deposit is required to confirm your requested event date, time, and character choice/s.

  • EEC cannot guarantee or hold a date/time/character without a deposit.

  • The deposit will come to 50% of the total party balance and is non-refundable.

Please note: a deposit is not applicable for Video Messages. The full amount is required to secure the service.

Payment

  • For the security of both parties, transactions are completed via PayPal as standard.

  • Should you wish to pay via bank transfer, this can be arranged by request only.

  • After settling the deposit, any remaining balance is to be paid prior to 48 hours before the party date (reminder emails will be sent a week before it is due)

  • If the full amount is not settled prior to 48 hours before the event date, EEC will not be able to provide a service, and no financial reimbursement of previous funds is liable to be paid.

Cancellation Policy

If you need to cancel your party booking with EEC:

We understand that extenuating circumstances can impact your party.

  • Should you no longer be able to host your party, please let us know ASAP.

  • We can apply one free-of-charge re-scheduling of your party to another date/time within 3 months of the original booking date (availability pending)

  • Multiple re-scheduling of dates cannot be applied without incurring a rescheduling fee of £30 per date/time change.

  • Should your circumstances not permit you to reschedule, any remaining balance paid (excluding the non-refundable deposit) can be reimbursed to you. Money from non-refundable deposits can be used towards a future event hosted by EEC.

If EEC has to cancel our party service with you:

Unforeseen circumstances can strike on both ends. 

EEC has an extensive team and network of approved performers that we can contact to arrange cover should a performer become ill/too injured to perform. All options for finding cover for your party would be exhausted before cancelling a booking.

Should EEC have no option but to cancel:

  • We will contact you with options for other companies of a similar standard/repute that have availability on your party date.

  • EEC will manage the logistics/change of company to reduce the impact of stress on yourself

  • Any difference of price will be covered by EEC should the alternative company rate be higher. In the event of the alternative company price being lower, the difference would be returned to you.

  • Should none of the alternative company options be suitable or to your liking, a full refund of all money paid would be returned to you.

  • In either instance, EEC is not liable to pay out any additional financial compensation.

Public Health Crisis and Natural Disasters

Should Governmental restrictions regarding a public health crisis (eg. Covid 19), or other natural disaster, mean that your in-person booking can no longer proceed, EEC are happy to either:

  1. reschedule your booking to a later date

  2. offer you a "virtual" alternative

  3. issue you a full refund. 

Please note: Refunds are only applicable to our in-person visits/parties affected

by the changing laws/restrictions issued by the British Government regarding public health crisis and social distancing.

Travel Fee and Parking

  • A 5 mile travel allowance is built into our party packages as standard.

  • Venues further than 5 miles from EEC base in Chiswick, W4, will incur a small fee added to the total price of your booking. This is to cover the additional fuel and travel time necessary to get to your party location.

  • Travel is charged at £1 per additional mile over 5 miles. This money is given directly to the person driving, and no percentage is kept by EEC.

  • Should your party venue (or the journey to) fall within the London congestion zone, the applicable fee will be added to the total price of your booking.

  • We kindly ask that you provide a temporary parking permit for your performer/s to cover the length of their visit at your residence. (All efforts are made to limit the number of cars travelling to one venue)

  • Alternatively, funds to cover the length of their required parking time will be invoiced to you after the party. This is due to be paid within 48 hours of receipt of invoice, with 100% of funds going to the team member who paid for the parking ticket.

Venues and Party Spaces

  • All party spaces should be clean, dry, free from tripping hazards, and have enough room for activities to be performed safely.

  • Should a party space presented not be suitable, this may limit the games/activities able to be performed.

  • Please note: our characters are larger than life! Ballgown characters in particular take up a lot of room due to their costume size. Please take this into consideration when planning your party space.

Homes/Residences

  • Furniture with sharp corners (eg. coffee tables) must be removed from the party space to prevent injury.

  • Breakable/valuable items must also be removed from the party space to prevent damage

  • EEC will not be held liable for any damage or injury caused due to the non-removal of items prior to the party start time.

  • Pets are kindly requested to be put in another room. This is to prevent: potential damage to costumes; injury to a performer or guest caused by an animal's excitement/over-stimulation; allergic reactions; trigger of phobia disorders.

Hired Halls/Venues

  • A certificate of liability insurance can be forwarded upon request if required.

  • All electrical equipment is PAT tested.

Outdoor (Garden/Venue/Public Park)

  • Outdoor spaces must be dry. Grass, patio, and decking is suitable. Packed dirt and gravel are not suitable.

  • A shaded, indoor, dry area, or alternative venue must be available in case of rain or excessive sunshine.

  • Should the above not be provided and weather is too extreme, EEC reserves the right to stop the event early.

  • In this instance, no refund is payable. 

Guest Count

  • Participants are limited to 20 per character attending.

  • Should additional guests be participating, we cannot guarantee that everything included in your package will be covered.

  • No discount is due if EEC are unable to perform duties because of a higher headcount.

Face Paint Bookings

Face Paint services are provided by our partner “Sky Is The Limit”

  • There is a strict maxmum of 20 children per artist. Additional children require a second artist at additional cost.

  • FDA-approved, professional-grade face paints are used. However, we cannot guarantee that your child will not have a reactiom. We are not liable should any reaction occur.

  • It is the responsibility of the client to notify EEC of any allergies so that this can be avoided where possible. 

  • For eveyrones safety, this service cannot be perfomred on anyone showing signs of: Flu symptoms; cuts; lice; rashes; or other skin conditions.

  • For insurance purposes, face paint cannot be applied on anyone younger than 2 years old. However, a design can be painted on their arm instead,

  • All equipment provided is sanitised between parties.

Use Of Other Vendors and Companies

Bouncy Castles and Inflatable Soft Play

  • Bouncy castles and other inflatables must be switched off for the duration of your character entertainment.

  • Enough space must be remaining for activities to be performed safely. Please see “Party Spaces/Venue” section.

  • We cannot provide the magical experience that you are paying for if fighting over the noise and distraction of inflatables.

Ball pits

  • For health and safety reasons, EEC cannot proceed with any activities with a ball pit in the same room under any circumstances.

  • Should a ball pit or similar be present, all activities will be halted, and entertainment will revert to a stationary meet and greet style of visit, with photo opportunities only.

  • In this instance, no discount or refund is payable.

Mascot character companies

  • EEC is not responsible for the safety or assistance of any mascot characters present from another company.

  • Any mascot characters present will be treated with character integrity to maintain illusion for children.

Other Character Companies

Please note: No two companies have the same style or quality of party entertainment and costumes. Character companies have various approaches and offerings in their party packages, and the EEC team are all trained to deliver a specific party style.

  • We cannot perform with character entertainers from companies other than EEC (excluding mascot characters)

  • We can only guarantee a high quality of costume and entertainment from the team trained by EEC.

  • Should a character from another company be present, EEC are liable to leave the event. This is due to the potential damage of reputation caused to us, should the services of another company become confused with our own.

Face Painters

  • In the event of EEC costumes being damaged by participants having used a facepaint vendor, an invoice for damages/dry cleaning/product replacement will be sent to the client.

Cosplay/Adults dressing up

  • EEC is a professional character company providing a service of excellence and magic for children

  • Cosplay from adults is not allowed under any circumstance.

  • Should an adult guest be presenting themselves in costume as a character, EEC are liable to leave the event due to the potential damage of reputation caused should our services be mistaken for cosplay.

  • Bounding/Disney bounding (a way to dress as a character using street clothes as inspiration)from adult guests is acceptable as long as they are not presenting themselves to “be” the character they are dressed up as.

Behaviour

  • EEC is classed as an “entertainment service” by our insurance provider.

  • The EEC team are not licensed as babysitters, childcare, or child supervisors.

  • The responsibility of upholding children’s behaviour remains with the party host and parents, not EEC’s performers or assistants. 

  • EEC reserves the right to stop the event early should any participant’s behaviour become unruly, violent, or offensive, or if they feel that someone's behaviour is putting other's safety at risk. 

  • In this instance, no refund is payable. 

  • Aggressive or racist behaviour will not be tolerated under any circumstances .

  • Performers and their assistants will not be able to provide the experience you are paying for with any disruptive behaviour.

  • Excessive and disorderly behaviour of adults in attendance caused by the consumption of too much alcohol or drugs will not be tolerated, and the conditions listed above will be implemented. 

  • Please check with your venue provider regarding their rules and regulations on alcohol consumption.

Damage

  • The responsibility of significant damage (including water damage) incurred to EEC’s costumes, props, and equipment, caused by an unsuitable party space* or the disorderly behaviour of a participant is held by the client hosting the event. 

  • In the event of EEC’s property being damaged by participants or an outside vendor, an invoice for damages/dry cleaning/product replacement will be sent to the client.

Safety and Hygiene

  • The responsibility of the guests remains with the client who is hosting the party. 

  • EEC will not be held liable for any damage or injury caused due to the self-neglect of the participants by not following the safety instructions of the character/assistant in any activity during the party.

  • EEC, and all employees/subcontractors, are covered by public liability insurance.

  • Our insurance provider states that performers are classed as "entertainers", not babysitters/supervisors - therefore the responsibility of children remains with the party host and parents, not EEC’s performers or assistants. 

  • Other adults must be present at all times whilst the service is being carried out.

  • Due to the fire risk and potential costume damage it presents, our characters sadly cannot carry/hold any birthday cakes, lit or otherwise.

  • EEC will not be held liable in the event of any allergic reaction to food, makeup, glitter, hairspray etc used for the purposes of the event. 

  • It is the responsibility of the client to notify EEC of any allergies so that this can be avoided where possible. 

  • We endeavour to use the best quality, sensitive-skin-friendly products for relevant services. 

  • If any participants present themselves with any skin allergies or infections, EEC has the right to refuse a relevant service for safety and hygiene reasons.

  • All equipment provided by EEC is sanitised between parties.

Safeguarding

  • All performers and assistants are DBS checked and covered by public liability insurance.

  • We believe that children and young people should never experience abuse of any kind.

  • EEC has a responsibility to promote the welfare of all children and young people, to keep them safe and to practise in a way that protects them.

Photo Permission

  • Verbal consent for any photos/videos taken of children by EEC’s team at your event will be requested from yourself or another adult present during the party.

  • Any photos or videos publicly shared are done so with the prior written consent of the client.

  • Names, faces, and locations can be redacted at your request.

  • All photographs and videos of children are stored securely, in accordance with our safeguarding policy and data protection law.

Performer/Character Quality Guarantee

  • The wig/s and costume/s worn by performers at your party are the ones advertised on our website. 

  • All costumes and wigs are professionally maintained between uses to uphold the high standard.

  • We sadly cannot guarantee a specific performer for your character choice.

  • We can guarantee an outstanding standard of performer and singing voice and look that is suited to the character.

  • Furthermore, EEC does not disclose the personal name or details of the performer attending. (This is due to a number of factors including last minute cast changes because of illness, and character integrity for the sake of the children if a performer's name is accidentally used instead of the character.)

  • EEC is passionate about respectful representation, especially in regards to characters of colour. Performers are cast with extreme sensitivity so that characters of colour, their races, and cultures, can be respectfully and authentically represented.

Character Integrity and Employee Respect

  • All of EEC’s team (performers, assistants, and management) are highly skilled, and fully trained to a standard of excellence.

  • We ask that all participants and guests respect our team.

  • To maintain the illusion for the children, we kindly request that characters are addressed only as they are presented to be. (eg. The Ice Queen, not “Maddie”)

  • Any attempts to disrupt the event by intentionally doing otherwise will not be tolerated, and the participant in question may be asked to leave. 

  • Performers and their assistants will not be able to provide the experience you are paying for with any disruptive or disrespectful behaviour.
